We Made That is hiring a head of bidding and new business to join its team in London.
Are you a bid manager with expertise in public sector procurement that wants to secure work and deliver public good?
We are seeking a knowledgeable and ambitious bid manager and new business coordinator with previous experience in similar roles in the UK to help us grow the practice. This is a deadline-driven role in a collaborative environment alongside a highly motivated team of architects, urban designers, researchers and wider support staff. We are looking for a proactive, organised, flexible, hands-on individual with a can-do attitude to undertake tasks related to new business and to coordinate bids and submissions.
Responsibilities and tasks
The ideal candidate will be capable of working closely with the practice leadership to support the acquisition of new projects, prioritise opportunities and coordinate successful bid submissions from start to finish for public sector contracts.
Bidding management and production:
- coordinate bid submissions from start to finish including PQQs/RFQs/ITTs for architecture, landscape architecture, masterplanning, urban design and research opportunities
- interface with procurement portals, timescales, deadlines, requirements and clarifications
- critically assess new opportunities and clients and prepare summary documents as well as intelligence relating to new potential projects and clients
- manage and maintain records of all new potential projects enquiries
- simultaneously run several new work proposals and bid submissions, track and follow-up practice-wide bidding activities
- maintain, update and refine a library of standard texts, project and practice information for bids
- coordinate and support the internal team with preparing bid and tender responses documentation using Adobe InDesign and MS office
- write, proof and edit texts for bids and submissions
- research, secure, and coordinate teams of multi-disciplinary consultants
- lead calls and orchestrate fee proposals with clients and consultants in collaboration with partners/ senior management team
- coordinate inputs from team and wider specialist sub-consultants, developing and maintaining a Bid Responsibility Matrix and Bid programme to record and coordinate inputs across the bidding team
- diary management, preparing meeting agendas, minutes and disseminating actions to the team in relation to new projects
- maintain an asset library of relevant submission documents, previous successful responses, feedback, company information, and other related certificates and records
New business coordination:
- proactively manage and pursue opportunities and clients
- build and maintain relationships with networks of clients, consultants, and collaborators
- maintain internal CRM system, project and practice information and generate reports
- gather and analyse industry intelligence on key and target markets
- creating standard and bespoke marketing materials, capability statements and other content/ digital communications collateral
- support publicity, including awards, events, exhibitions and publications
- contribute to weekly business development meeting with partners/ senior management team
- contribute to business and impact plans in dialogue with partners/ senior management team
Competencies, skills and experience
The ideal candidate will have a keen interest in architecture, landscape and urbanism, excellent understanding of the built environment industry. Alongside a desire for delivering public good, we are seeking an individual with the following essential and desirable skills.
Essential:
- proven previous UK experience within an architecture or urban design practice with strong public sector bidding track record
- exceptional organisational and administrative skills and the ability to manage a diverse range of tasks
- fluent spoken and written English with excellent English language writing and editing skills, both technical and non-technical
- self-motivated and enthusiastic attitude
- meticulous attention to detail
- flexible and able to adapt to deadlines
- proficiency with Adobe InDesign and MS Office

- practical skills in designing and preparing graphic layouts
- strong communication skills
- confident, assertive and well organised

Salary guide
£40k+ per annum/ Negotiable dependent on experience (plus company benefits)
Hours
37.5 per week (but open to flexibility for the ideal candidate)
