Cowen+Partners/Studio Jo Cowen is looking to recruit a studio manager to join their award-winning, multi-home, mixed-use and high-end residential practice.
This is an exceptionally varied and important role within the practice that ensures the efficient running of the practice and is key to making the studio environment welcoming and friendly.
The primary responsibilities of the role include, but are not limited to, the following
Studio management:
- ensuring the smooth day to day running of the studio and maintaining an excellent studio environment including managing and preparing meeting rooms
- managing front of house; answering phones via Teams, greeting visitors, taking deliveries, and collecting and distributing post
- managing practice diaries and monitoring of various practice email inboxes
- facilities management – liaising with landlord/building manager and subtenant as well as managing cleaners and coordinating any necessary repairs
- organising, ordering, and maintaining all studio supplies, ranging from equipment, furniture, stationery to kitchen supplies
- IT management – overseeing and managing outsourced IT support on day-to-day basis
- primary contact for all studio Health & Safety related issues – setting up relevant annual tests and risk assessments and following up on actions identified, monitoring First Aider and Fire Marshall certifications and organising re-training as required
Studio administration:
- managing holiday requests and absences ensuring all are accurately recorded in CMAP and practice Outlook calendar
- managing the recruitment process
- keeping staff records up to date in accordance with GDPR requirements, maintaining GDPR protocols for practice, auditing records and studio admin files accordingly
- providing administrative support to the studio as needed, including scanning, and filing appointments
- as a key member of the practice’s Social Committee be responsible for managing the organisation of and catering for practice events, and other events held at the studio
- assisting practice director with various matters as required, including studio finances for reconciliation, organisation of CPD events, and coordination of outreach programme and work experience students
- maintain social media strategy across various platforms, and ensure websites are updated with news/projects/press updates and links to other company social media platforms
PA responsibilities to directors:
- effective management of three directors’ diaries, liaising internally and with clients to arrange meetings
- planning ahead to ensure any potential diary clashes are identified in advance and managed accordingly
- booking any required travel, accommodation or couriers for the Directors and wider team as required
Experience, knowledge and attributes:
- previous experience in a similar role is desirable
- excellent communication and interpersonal skills essential
- must be a team player and able to adopt a flexible approach to work according to the needs of the practice
- able to work independently and under own initiative with the ability to organise and prioritise workload effectively
- able to remain calm and work well under pressure
- excellent command of the written and verbal English language
- good knowledge of Microsoft Office – Word/Excel/Outlook
