Role outline

Our London studio is seeking a talented freelance/part-time procurement manager to join a dynamic team in a fast-growing studio. This role will play an integral part in the FF&E and procurement functions. The successful candidate must be passionate and have a strong procurement/FF&E management background, preferably within high-end or luxury design.

Education and experience:

  • you must have a bachelor’s degree in business administration, supply chain management, logistics, or similar relevant fields
  • CIPS membership preferred
  • over eight years’ experience in procurement or purchasing with at least four years purchasing for high end design, hospitality or interior fit out projects

Required skills:

  • track record of planning, negotiating, procurement, buying terms and contractual arrangements
  • dealing with global suppliers and projects (including Middle East and US)
  • ability to drive and lead the procurement process alongside the interior design team
  • proven experience in creating efficient procurement processes
  • outstanding negotiation skills
  • problem solver with a strong analytical mind-set
  • precise and methodical approach with an eye for detail and accuracy
  • proven track record of experience, knowledge and understanding in Microsoft Office Suite and Studio Designer (or similar package)
  • self-motivated but also a good team player who is able to work quickly and efficiently in an organised manner
  • excellent communication skills

Responsibilities:

  • develop a procurement strategy and work with the designers on the supplier selection
  • prepare the initial FF&E budget to develop an FF&E programme and fund request timeline
  • liaise with finance director on fund request timelines and monitor it on a weekly basis to ensure timely receipt of funds from clients
  • schedule out a delivery plan for all projects. For international projects, establish a transport and export/import strategy and secure all relevant quotations and documentation
  • manage projects efficiently, within schedule and within budget in close co-operation with designers as a senior member of the project team
  • manage the FF&E tender process including tender analysis and terms with new suppliers
  • manage the appointment of suppliers and negotiate best terms
  • check quotations and invoices before raising PO’s
  • manage all supplier communication and monitor the development against the agreed deadlines
  • create a delivery and installation schedule for FF&E items and establish both internal and external resource requirements for the final stages of projects
  • manage third party storage and freight/delivery services
  • plan and carry out factory visits to monitor the progress of bespoke FF&E. Complete relevant factory checklists for sign off
  • ensure completed bespoke FF&E items are signed off prior to being delivered
  • on-site inspection and liaison with contractors
  • prepare final reconciliation pack and provide information for final reconciliation of FF&E funds/client accounts
