Studio assistant

Holland Harvey is looking for an ambitious studio assistant who is looking to progress to studio manager to join its London-based practice. Â

We are seeking an organised, detail focused and enthusiastic individual to join our growing team to provide administrative support to the associate (operations) and wider team. An interest and understanding of creative industries and processes is advantageous.Â
Key duties:Â
- administrative support to the associate (operations)Â
- assist in general accounts / book-keeping including reconciling and invoice queriesÂ
- dealing with IT issues and liaising with external IT supportÂ
- ordering and maintaining studio supplies and stationery levels Â
- assist in studio maintenance and cleaning coordinationÂ
- assist with health and safety checks such as office risk assessments and fireÂ
- processing architects and directors’ expensesÂ
- organising cpd’sÂ
- assist in maintaining practice databases and software systemsÂ
- producing financial reports from Xero and CMAPÂ
- organising studio events including securing venues, equipment, food, preparing invitations, announcements, agendas, making travel arrangements and reservations and assisting with the event as it occursÂ
- maintaining an organised and tidy sample library and updating inventory Â
- manage front of house, welcoming visitors, answering phones, ensuring studio is tidy and postÂ
- organising interviews Â
- filing confidential information including HRÂ informationÂ
- assist in updating websiteÂ
Skills:Â
- exceptional organisation skills and detail-focusedÂ
- excellent written and verbal communication skillsÂ
- ability to multitask and work under pressureÂ
- numerical and analytical skills Â
- excellent in Microsoft Office Â
- proficient in adobe creative suite and or affinity would be advantageousÂ
- ability to learn and use project management softwareÂ
- take initiative to improve and streamline systemsÂ
 Education/experience: Â
- a level or the equivalent and five years’ experience of general office and administrationÂ
