BIG is seeking a staffing and recruitment coordinator to join its team in London.

Our London office is growing at a rapid pace; hence we are currently looking for a staffing and recruitment coordinator to form part of our operations team.
As a staffing and recruitment coordinator you will be based in our London office together with 90+ fantastic BIGsters and you will be working closely with various stakeholders across BIG’s operations and leadership teams. Your role will be to analyse competency needs on our various projects, allocate appropriate resources depending on project requirements, and predict future recruitment needs for the London office. Being service minded and detail oriented, with a flexible attitude to new ways of working is of the outmost importance.
You will be reporting directly to the people manager and you will have a strong working relationship with the managing director, the local partners and the project controlling team. This is a new position here at the London office and as such the role offers great personal development potential in an international, fast-paced, and highly ambitious creative environment.
Primary areas of responsibility relating to staffing:
- analyse competency needs on projects and allocate appropriate resources in coordination with the local leadership team
- assess and maintain staffing capacity overview of the office based on the project pipeline
- ensure information is input accurately and updated regularly in BIGs project controlling platform (CMAP) and provide staffing reporting when required
- organise and schedule weekly staffing meetings with the local leadership team to identify suitable project leads and address any staffing issues reported
- attend relevant project pipeline and project kick-off meetings
- organise and schedule project staffing meetings at appropriate stages in a projects’ development
- support project leads and project managers with day-to-day changes on projects, deliverables and timelines to optimally utilise employees’ time and competencies
- liaise with and engage external project consultants when required
Primary areas of responsibility relating to recruitment:
- support the local people manager and managing director in predicting future recruitment needs
- ensure timely recruitment of required employee profiles
- create job roles descriptions, post positions to BIGs website and to relevant external job boards when required
- source candidates through external channels when necessary
- maintenance of BIG’s application tracking system (Emply)
- organise and schedule bi-weekly recruitment meetings with the local managing director, the people manager and other relevant stakeholders
- organise and schedule bi-weekly recruitment meetings with internal recruitment committees
- screen all incoming candidates, coordinate interviews, manage candidate correspondence, provide timely responses to all applicants, and ensure interview assessment forms are kept on record in compliance with the data protection act 2018
- proactively create and manage future candidate pipeline
- establish/foster relationship with relevant academic institutions as a means of work placement and full-time recruitment channel
- assist and support the people manager with onboarding, offboarding and other ongoing projects as required
We seek a person who has:
- has two to four years of professional experience in an administrative or operations capacity at an Architecture firm or related industry
- can demonstrate an enthusiasm for innovation and creative problem solving
- strong organisational and administrative skills (prior experience in a similar role is a plus)
- effective time management skills, can prioritize tasks, and follows-up in a timely manner
- is proactive, completes tasks with a sense of urgency, and is capable of multi-tasking responsibilities
- tenacity and persistence, is confident making decisions quickly in fast-paced and rapidly changing environments
- an interest in a role that will continue to evolve and who can embrace the ad-hoc nature of the tasks such a position demands
- good knowledge of MS Word, Excel, and PowerPoint (InDesign is a plus)
- excellence in English, spoken and written (fluency in another language is a plus)
This job description reflects the core activities of the role although there will be changes in the emphasis of duties as required from time to time. There is a requirement for the post holder to recognize this and adopt a flexible approach to work.
