Pilbrow & Partners is hiring a studio manager to join its team in London.
Pilbrow & Partners is a London based architecture and urban design studio, established in 2013. The practice is led by partners Fred Pilbrow, Tal Ben-Amar, Keb Garavito Bruhn, Sam Yousif and Gareth Wilkins and currently have a team of over 50 architects and urban planners working on projects in the UK and abroad
The partners have particular strengths in addressing complex planning challenges and a track record of successfully developing proposals in sensitive heritage contexts. As well as a team of architects and urban planners, the practice is supported by specialist resources including environmental analysis, parametric modelling, BIM, visualisation and model making.
We are looking for a highly organised, friendly and proactive Studio Manager to join our energetic studio in Farringdon. Previous experience within a creative environment is preferred but not necessary and you should have the ability to work independently as well as collaboratively. You will be the face of the studio, meeting and greeting visitors and the go to person for facilities, office management and HR.
Reception/front of house:
- covering the reception desk, meeting clients and visitors, answering incoming telephone calls
- preparing meeting rooms and tidying up after meetings. Ensuring that the general upkeep of the office is as tidy and presentable as possible
- managing the calendars for the three meeting rooms
- arranging couriers and taxis
- distributing the incoming mail, managing the outgoing mail
- ensuring that the general office supplies are replenished, including fresh fruit
- managing the studio inbox
- event planning and co-ordination for P&P events including life drawing and extracurricular activities
Facilities management:
- arranging for technicians/contractors to tend to problems/ in office issues
- liaising with IT consultants, telephone consultants, printer engineers, cleaners, recycling and other tenants in the building and the landlord
- updating the staff telephone list and floor plans – co-ordinating desk moves
- telephone management – updating telephones, working with our consultants to solve user’s issues
- practice health and safety – organising and attending quarterly health and safety meetings – implementing health and safety procedures
HR:
- arranging annual review meetings for all staff members
- updating and filing HR related documents and information
- recording staff time off holiday, sick days, etc.
- inducting new starters – pre-start date, first day and follow ups
- processing job applications, working with the P&P team and external recruitment consultants with new hires
- processing staff visa renewals and applications
- renewing practice chartered membership and individual memberships
Office management and other administrative duties:
- ISO9001 quality manual – partake in quarterly quality management meetings, update office policies and implement changes in procedures
- management of LinkedIn learning – staff educational platform
- project related admin, setting up new project folders, printing and binding documents, filing away project information
- assisting with accounts administrative tasks, expenses, invoices
- co-ordinating CPD presentations and CPD calendar, logging and filing presentation material and certificates, liaising with the consultants/ presenters
- sharePoint – management of studio intranet
- rapport 3/HR systems management

IT:
- main point of contact with IT external IT consultants
- manage software license renewals and contracts
- manage procurement of IT equipment and purchases
- manage new starter setup and leaver handover
- manage staff loan of IT equipment
- IT – managing the ticketing system, working with IT to solve users’ issue
