FreeState is seeking a business coordinator to join its team in London.

As part of international design firm Hassell, FreeState works out of our studios in the UK and Australia with clients in a number of sectors.  We work with brand builders and city makers to design the sorts of places that people want to live, work and play in.  From reimagining airports, universities, precincts and whole neighbourhoods – we design experiences that genuinely matter to people.

About the team

As experience masterplanners, we have built our reputation working alongside some of the world’s biggest brands and cities.

Our people come from a variety of backgrounds, including design research strategy, consulting, spatial design, place-making, technology and brand. This diversity helps us partner with clients to create human narratives – designed journeys and immersive experiences that connect people with each other and places they’ll never forget.

About the role

As a business coordinator with Freestate in London, you’ll proactively provide support across multiple aspects of our business, including:

  • support administration by managing schedules, operational processes and systems
  • assist with meeting schedules and bookings, travel requirements and general team administration
  • invoice management for general expenses
  • support business development activity including bid management, and CRM data input
  • work with our team in the UK and Australia to oversee and manage marketing and communications campaigns
  • set up and management of projects including contractual agreements, project schedules, budgets, invoicing
  • support project and finance processes, forecasts, input of data and monthly reporting

About you

We’re looking for someone who:

  • is self-motivated and enjoys wearing multiple hats to ensure things get done.  As a small team, we focus on outcomes rather than activities and therefore a start-up mentality with the willingness to learn and contribute ideas is key
  • is results oriented and able to take initiative to solve problems as well as relentlessly curious and wanting to learn and develop
  • has three plus years experience in a similar business
  • coordination/administration role in creative environment
  • excellent verbal and written communication skills
  • highly organised
  • experience in bid and tender management, producing and analysing financial reports as well as some visual communication skills (InDesign, PowerPoint and Google Slides) would also be highly desirable
  • hold the right to work in the UK
