There is an opportunity for a PA to join Heatherwick Studio’s London team and support its group leaders. 

Heatherwick Studio is looking for an experienced PA who will be contributing to our continuous support to the group leaders. Group leaders are the core group that works and supports Thomas Heatherwick to generate, develop and deliver innovative and original designs.

Your role:

You will be working closely with one or more group leaders (GL) on a day to day base. Your role is proactively providing a high level of care and support to ensure the success of the group leader(s) professional activities.

Your responsibilities:

  • build a strong rapport with the GL with a great understanding of their roles and responsibilities
  • understand, anticipate and foresee GL’s way of working
  • communicate with the GL constantly to understand their needs and upcoming work load
  • manage the GL’s diary in a highly professional manner
  • manage GL’s Email Inbox in a timely and effective manner
  • act as a first point of contact for internal and external correspondence for the GL
  • prepare and manage documentations for the GLs when necessary including confidential documents, reports and presentations, etc.
  • set up effective filling, systems and documentations to support and assist the GL in managing the people/projects within their teams
  • set up meetings and prepare meeting minutes; coordinate with internal and external teams and resources to ensure a smooth execution of activities when necessary
  • keep up to date with the studio life and inform the GL of essential information, events and activities
  • manage the GL’s budget and expenses
  • manage the GL’s travel itineraries
  • manage the GL’s contact database
  • as a member of the team, actively assist the PA group when necessary

Your skills and experience:

  • excellent IT skills including Microsoft Office Suite – proficient user of Word, Excel, PowerPoint and Outlook
  • previous experience being a PA to a high leveled leader would be advantageous
  • experience of meeting facilitation; concise and accurate agenda and minute taking
  • ability to manage multiple tasks simultaneously, resilient to pressure
  • excellent written and verbal communication
  • great planning and prioritising skills
  • excellent English, additional foreign language would be advantageous
  • previous architectural or design or project support experience (desirable)
  • proactive, resourceful with an agile mind
  • logical thinker with excellent attention to details
  • great team player
