MICA Architects is seeking a document controller and administration assistant to join its team in London.

MICA Architects is looking for a document controller and administration assistant to perform key project administration duties within our studio at Camden Town, London. This is a permanent full time position.

You will work alongside a highly motivated team of architects and urban designers and support staff who work in a studio environment. The team are friendly, collaborative and supportive to ensure that every project and employee achieves their full potential. Training will be provided for various document management systems in use by the office.

Your role

Your role will include assisting the project teams with document control on Atvero cloud based system, as well as other project-specific document management systems, whilst also being front of house providing assistance to the admin team. You’ll be taking calls and messages, monitoring post, organising couriers and greeting visitors on a daily basis. In addition to this you’ll be responsible for ensuring the studio and facilities are kept clean and tidy, managing supplies, stationery and stock, and being responsible for booking and setting up meeting rooms. Due to the nature of the role this is an office based position, however we can offer one day WFH, or further flexible working arrangements can be agreed with the directors in advance notice.

Candidates will ideally have:

  • computer literacy and good understanding of electronic document control systems (Microsoft 365, Sharepoint, Adobe)
  • a positive work ethic and be approachable
  • exceptional organisational skills and be detail orientated
  • experience in document control on architecture practice is preferred but training will be provided

Duties will include

Document control:

  • liaising with both internal and external project teams in establishing procedures for information workflow
  • assisting and training others in document control and management procedures
  • ensuring timely uploading of design information in line with internal and client project requirements  to electronic document management systems
  • maintain all drawing records for allocated projects including drawing issue registers
  • final quality control review of information submission
  • development and maintenance of project procedures
  • filing and organising contact (hardcopy and digital) all project documentation
  • keeping project contact lists up to date
  • working to tight deadlines and ensuring documentation filed in the correct location and categorised according to the type of document
  • maintaining internal Sharepoint sites and ensuring reference information is kept up to date

Administrative support:

  • first point of contact for all visitors
  • answering calls
  • assisting with refreshments, lunches etc when required
  • assisting with printing, binding / filing / photocopying
  • assisting with Health and Safety Documents when required
