Studio manager

ZMMA is seeking a studio manager to join its studio in Hoxton, London.
We are award-winning architects and exhibition designers specialising in museums, galleries and mixed-use arts projects. Our experience encompasses many new-builds and transformations of important historic sites and buildings.
About the role:
This is a part-time role (One to two days/week) based in our studio in Hoxton, London.
We are looking for someone who is highly organised and proactive, with good communication skills and a positive disposition. A creative background and knowledge of Adobe software is welcome but not essential.
Typical duties include (but not limited to) the following:
Book-keeping:
- manage incoming invoices and payments
- track outgoing sales invoices
- process staff and director’s expenses
- collate/spreadsheet monthly time and narratives for job invoices
- collate information for quarterly VAT return and liaise with VAT accountant
- reconcile bank and card accounts at end of each month
Office management:
- answer phone and take messages
- sending post, stocking stamps
- manage printer, printer supplies and track costs
- ad hoc printing
- ensuring filing and archive up to date and is kept orderly
- ordering and managing supplies / stock, replenishing
- organising events – team events, CPDs
- when in-office meetings are held – ensure refreshments are prepared
and food ordered - welcoming any visitors
- maintain membership/subscription renewals
- obtaining quotes for products and services
- create new timesheets for staff
- ensure admin folder on server drive is kept organised, including
archiving old/unused folders - liaison with IT company
- helping to resolve tech/computer issues
- various ad hoc actions, purchasing things etc
Housekeeping:
- replenishing bathroom stock
- ensure kitchen is clean & tidy (beginning and end of the day)
- keeping the office and meeting areas looking good and tidy
- organise periodic office tidy-up sessions
- manage the (one-man band) office cleaner and do occasional small cleaning tasks if needed
Salary negotiable.
