Asif Khan Studio is hiring an assistant studio manager to join its team in London.
Asif Khan Studio is looking for an assistant studio manager to support the studio in the management of the business. The individual will work alongside the studio manager and the directors to ensure the smooth running of all aspects of our support processes.
About our studio
Asif Khan Studio is an architecture and design practice designing buildings, landscapes, exhibitions and installations. Current projects include the renewal of London’s iconic Barbican Centre, the new London Museum, a waterfront transformation for National Museums Liverpool, a landmark bridge in Canada Water and the Tselinny Centre of Contemporary Culture in Almaty. Recently completed projects include the exhibition ‘Plastic: Remaking our World’ for Vitra and the V&A, and the public realm and landmark entry gates for Dubai Expo 2020. Based in East London, the studio is known for its future-facing collaborations with artists, scientists and craftspeople, together exploring how material and social innovations can fundamentally alter the way people experience and shape their environment. Asif received an MBE for services to architecture in 2017 and was awarded Architect of the Year in 2018 by the German Design Council.
The team is looking for a very organised, conscientious individual who is highly focused and detail orientated.
The ideal candidate would have experience in a similar role in a creative industry, but other relevant experience will be considered. We are seeking individuals eager to fulfil a long-term position in our studio and grow with us.
Key responsibilities
General management:
- support the studio manager in managing facilities, office housekeeping, security, premises maintenance and other related issues
- support the team with general studio administration e.g post and deliveries, stationery, keeping the studio clean and tidy
- manage all IT, software and telecoms across the business, working closely with our design team
- organise all company travel and couriers
- maintain and develop suitable and compliant business policies, updating them as required and at least annually
- administrate external relationships and new business leads with the studio manager and directors
- assist in any organisational/admin tasks associated with marketing and PR e.g press requests
- help to organise team socials and activities e.g studio visits, open events and parties
Bookkeeping:
- processing payments, invoices, income and receipts and entering data into accounting software and database
- preparing financial statements showing business income and expenditure
- paying consultant/supplier invoices and tracking bank account balances
- verifying the accuracy of business accounts and alerting management and the accountant of errors
- recording any inconsistencies to help the accountants reconcile inaccuracies
- processing monthly financial statements including cash flow, profit and loss and balance sheets
- issuing employee PAYE payments
- managing employee expense claims
- helping the accountant with administrative duties and preparing yearly accounts
People:
- oversee the staff CPD and mentoring programme
- work with the directors in recruitment process activities and inductions
- maintain and check staff paperwork, and records
- schedule bi-annual employee reviews
- administration associated with changes to staff employment conditions such as salaries and promotions; holiday and sickness records
- promoting inter-company communication on HR matters and keeping staff up to date with changes in personnel, news and information
Skills:
- excellent written and verbal communication
- exceptional organisational skills
- highly motivated, proactive and attentive
- experience with macOS, Google mail, Google sheets strongly preferable
- experience with Adobe Creative Suite (especially InDesign) preferable
Additional information:
- the role is full time and office based
- start date as soon as possible
- three month probation period to ensure we are a good fit for each other
- pay dependant on experience
