Casson Mann is hiring a full-time office administrator to join its team in London on a maternity cover basis.
Casson Mann is an exhibition and interior design company. We are looking for a highly organised, enthusiastic office administrator to join our friendly team of 21 people based near Old Street, EC1. The office administrator will ensure that the studio is run in a smooth and efficient manner and will be expected to support the management team with ad hoc tasks as necessary.
Required skills and experience:
- excellent verbal and written communication skills
- great organisation skills and a keen attention to detail
- a supportive and proactive approach to working as part of a busy team
- a desire to learn and develop
- comfortable working with Apple Mac Computers, and proficient in Microsoft Office
- an interest in museums and design would be helpful
- prior office administration experience is a must
- health and safety experience is not necessary, but a bonus
Studio administration:
- managing and implementing Casson Mann’s health and safety policy across the studio
- maintaining the company archive (including image archive), database, intranet and studio space
- organising company events including studio lunches, the annual summer trip and Christmas parties
- organising travel and producing travel itineraries for designers travelling internationally
- booking and arranging team training
- assisting with the tracking and provision of IT equipment to staff
- being a point of contact for IT troubleshooting, including liaising with our external IT support
- supporting the company founder with diary management, travel itineraries and ad hoc tasks
Facilities management:
- managing external cleaning and recycling contractors
- ordering office supplies, stationary, design materials and kitchen supplies to an approved budget
- assisting with annual renewals of subscriptions and external suppliers
Reception duties:
- answering the phone and taking accurate messages
- checking the company email address – answering or forwarding as appropriate
- acting as the first point of contact for visitors, being hospitable
- being responsible for the tidiness of the office at all times and particularly when visitors are expected
- booking couriers and printers
- managing office master diary and meeting arrangements, organising meeting rooms, lunch etc.
HR support:
- organising monthly breakfast meetings – drafting agenda and following up on agreed actions
- updating the company intranet
- organising CVs, arranging interviews, keeping track of the process and sending out responses to all applicants
- posting job adverts
- organising work experience or internships
- sponsorship and visa admin
Finance support:
- completing expenses for the company credit cards, keeping track of spending and filing receipts
- support with invoicing when needed
