Jonathan Tuckey Design is seeking an executive assistant/practice manager to join its team in London.

Who we are

Jonathan Tuckey Design is a creative and vibrant architectural studio based in West London.  The creative and energetic staff of 16 specialise in remodelling existing buildings of all statures and purposes for radical new uses.

Our studio has garnered an international reputation for working with existing buildings and has become expert in combining contemporary design with layers of built heritage. Our projects are located in UK and Europe and we typically work on around 20 at one time.

In addition to our project work we set up Building on the Built, a programme of public talks which take place at the studio several times a year.

Who you are

You are highly organised and extremely detail-oriented with two to three years experience’ in general office management and administration and outstanding references. Life in our studio is fast-paced and at times unpredictable, and you’ll be expected to deputise for the director at a short notice and take initiative to drive projects to completion. Many of the practice’s clients are high net worth individuals so you’ll have impeccable presentation and communication skills. An artistic design background is an asset, but we will consider anyone with an eye for detail and an aptitude and thirst for developing new skills.

What you’ll do:

  • managing our studio – keeping a tidy and inspiring work environment, ordering and maintaining material samples and office supplies, greeting and welcoming clients
  • assisting the director – corresponding on his behalf, making decisions and delegating work in his absence, getting involved in the planning allocation for resources, ensuring the director is prepared for all meetings, attending and taking minutes at client meetings
  • managing staff – you will be responsible for human resourcing, including staff recruitment and leavers, inductions for new staff, managing personnel records, annual leave, absence and annual reviews confidentially and professionally
  • office marketing and PR – oversee and delegate all marketing and PR tasks to the on-staff PR manager, and prepare and run weekly PR meetings
  • accounts – issuing and following up of monthly invoices, processing company expenses for in-house bookkeeper
  • administrative responsibilities – monitor staff timesheets and work schedules, coordinate holiday allowance and generate and track client invoices
  • practice development – in tandem with the director and associates identify new business opportunities.

Required skills:

  • excellent knowledge of Microsoft (Office/Excel/PowerPoint) is essential
  • computer savvy with general IT, (printers, computers – Mac)
  • knowledge of bookkeeping software Xero helpful
  • good organisational and numerical skills
  • ability to shift from task to task quickly
  • excellent written and spoken English is required
  • additional spoken languages (not native but working knowledge) a plus, especially German and French

Salary: £30k-£40k
