Office administrator and facility coordinator
at Makower Architects

Makower Architects is seeking an office administrator and facility coordinator to join its growing London studio.

Makower Architects is an architectural studio based in Southwark, London, specialising in Architecture and Urbanism and working internationally.

Key areas of responsibilities:

  • office administration/facility coordinator (ie running the studio facility)
  • IT coordinator
  • receptionist/PA

Office administrator and facility coordinator:

  • maintain and look after all business accounts related the office facility and studio operations such as building utilities, cleaning service, alarm provider, etc (does not include finance aspects of the account)
  • maintain and look after all studio subscriptions and memberships
  • process and maintain all studio and project admin documents, such as project contracts, certificates, etc.
  • organise marketing events
  • organise internal studio events
  • conduct new staff inductions
  • maintain studio diary
  • managing all incoming and outgoing post, deliveries and couriers
  • manage and look after the sooth day to day running of the studio
  • look after all aspects of the office facility, including organising repairs and regular maintenance, cleaning services, printer, alarm company, internet and utility providers, telephone, etc.
  • maintain office and facility supplies, including ordering

IT coordinator:

  • be main point of contact to our external IT consultant
  • maintain database of all computers, laptops, monitors and any other significant hardware
  • maintain server folders, create new project folders, etc.
  • maintain all software installation and updates (assist our external IT consultant)
  • provide impromptu IT support to principal

Receptionist/PA:

  • managing the principal’s busy and ever-changing diary, scheduling meetings as necessary
  • manage and filter incoming email
  • arranging business travel and managing travel itinerary
  • other ad hoc tasks as reasonably required, e.g. printing and scanning
  • acting as front of house for the business, meeting and greeting clients and visitors
  • monitoring office calendars for meetings, preparing and serving refreshments, arranging lunch as necessary
  • ensuring that meeting rooms are prepared both before and after meetings
  • maintaining the overall tidiness and appearance of the ground floor

Required skills and attributes:

  • confident, friendly, proactive and with common sense
  • a thorough and conscientious multi-tasker with discretion and diplomacy, ability to take direction and manage own workload
  • strong organisation skills, with the ability to prioritise and manage both your own workload and that of the principal
  • the ability to work under pressure and to deadlines
  • good working knowledge of the Microsoft Office suite is essential
  • a certain level of tech savvy and IT skills and know how
  • excellent English, both spoken and written
  • must be eligible to work in the UK

Full time position, five days a week.
