Studio manager/PA
Piercy&Company is looking for a studio manager and PA to join its London office.
This is a central role managing the core operational functions of the studio, ensuring administrative processes and day-to-day activities run smoothly. Part of the studio and communications team, you will be working closely with the HR and operations manager and managing the studio assistant to support a growing practice of 80 plus architects and designers. In addition to overseeing the studio, the role covers PA duties for all four directors. Attention to detail, a positive ‘can-do’ attitude and a high level of initiative is key.
The successful candidate will be experienced in a similar role, and have excellent demonstrable communication and organisation skills. An interest in the arts or architecture would be a welcome bonus.
General duties include, but are not limited to
Studio:
- managing full on-boarding process and facilitating staff inductions
- overseeing facilities maintenance and repairs for air conditioning, lighting, printers and any other studio/ workshop appliances
- managing office maintenance accounts (electricity, cleaning contracts, business rates)
- supporting the studio assistant where necessary with welcoming visitors to the studio, answering the phone, providing refreshments for meetings etc.
- managing IS0 14001/9001 accreditation and annual audits alongside the HR and operations manager
- assistance with annual update of company policies
- assisting HR and operations with H&S and booking fire safety assessments
- planning and scheduling CPD’s and lectures
- assisting with marketing, website updates and business development when required
- managing loaned equipment; iPads, PPE, cameras, Oysters etc.
- coordinating the planning and execution of studio events, including summer and Christmas parties
- communicating and maintaining Covid safety measures
Finance:
- overseeing studio budget and spending
- managing supplier business accounts
- coordinating monthly statements
PA:
- diary management
- scheduling meetings, booking events and coordinating travel
