Bid and sales coordinator

vPPR Architects is hiring a bid and sales coordinator to join its team in London.
Part time: three days per week, flexi-time
Remuneration: dependent on experience
We are vPPR: a spirited, women-led architecture firm of 15 people, who have won multiple awards for our work. We are based in Camden but operate across the UK and are about to open a new office in Germany. We enjoy working with artists and on projects with social purpose. We love the complexity of the city and we thrive in bringing clarity to difficult urban sites. Past projects have spanned multiple sectors, including housing, workspace, public realm and arts projects.
This is a newly created role as the business is growing quickly. It is a great opportunity for an agile bid and sales coordinator who is looking to work within a fast-growing design-led practice. vPPR is a family-friendly practice and we support flexible working and part-time as long as project deadlines are unaffected.
The bid and sales coordinator will report to the directors to deliver high-quality bid documents, EOIs, PQQs, case studies, competition entries and award submissions that meet vPPR’s business plan goals. You would coordinate the entire bid process, from monitoring tender portals, OJEU notices and other sources of bids and leads for relevant opportunities to present to the directors; to overseeing the production and submission of the bid documents; to helping prep the directors for interviews and in negotiating the final agreements.
As the ideal person for the role, you would be a great writer who also has a good eye for graphic design, capable of pulling a document together in Adobe Suite. Text and image layouts need to be clear, approachable and exciting – tailored to the client each time. A good understanding of fee calculation, including cost planning and resourcing would be desirable. You must be passionate about design and architecture and have an exceptional eye for detail. You enjoy working proactively and collaboratively and will understand the strategic growth ambitions of the studio and their documents will reflect this.
Key responsibilities:
- production of bids, pitches, EOIs, PQQs and client presentations
- presentation of relevant current and potential opportunities to directors by following up leads, reviewing briefs and tender documents
- maintenance of in-house databases and image library, documents and project information to support the quick production of documents
- collation of key information for the preparation of the proposal, including liasing with a proposed team of consultants
- liason with project managers to set up resources, cost plan and programme
- review of contract documents
Skills required:
- two years or more experience in a similar Bid and Sales Coordinator role preparing fee proposals and tenders within the architecture/design industry
- good knowledge of the architecture industry and a passion for design
- advanced knowledge of Adobe Indesign, Illustrator and Photoshop.

- strong numerical skills and familiarity with Microsoft Excel

- excellent eye for detail
- works well as part of a team and takes initiative when needed
- ability to manage multiple projects and deadlines at one time
- fluency in German is desirable but not essential
