Linda Boronkay Design Studio is seeking a procurement officer to join its team in London.
Linda Boronkay Design Studio is a multidisciplinary interior architecture and design studio based in London. The studio’s portfolio ranges from diverse and distinctive interior design projects for hospitality and custom residences for high-profile private clients, from home products and accessories to brand collaborations.
We are currently recruiting for a part-time procurement officer to ensure the smooth running of the procurement, warehouse and administrative side of the design team. The successful candidate will have previous and extensive experience in procurement and goods in within tight time frames. The successful candidate will be attached to our London Clerkenwell office, although the opportunity to work some of your time remotely is optional.
Procurement officer position overview:
- ordering for projects, including furniture, lighting, fabrics, bespoke items and soft furnishings
- finalise purchase details of orders and deliveries, feeding back lead times and confirmations to design team
- tracking deliveries into the warehouse
- booking goods in on internal systems, marking up deliveries and distributing within warehouse
- completing checks on projects in the warehouse
- liaising with suppliers to ensure all goods are in within required time frames
- actioning and tracking refunds
- booking couriers and deliveries
- communicating, negotiating and forming relationships with trade suppliers
- liaising with all designers to understand their project procurement requirements
- overseeing the recording of internal stock
- assisting operations team with all project deadlines and requirements
- report directly to finance and design manager
- ensuring the smooth running of the administrative side of the procurement department
- working closely with the finance department
- internal overview of all upcoming and existing projects
- communicating with staff, clients, suppliers and others in a timely, friendly and professional manner
- working effectively within a small but committed team but also working efficiently on their own as required.
The candidate will be:
- flexible – this role will see you working in our office and warehouse
- process-driven
- skill in organising and prioritising workload in order to meet deadlines in light of changing, heavy workload and competing requirements
- the ability to build effective, professional relationships with the companies sub- contractors
- experience within a similar operations/administration/logistics role, with previous planning experience
- a high level of IT skills
- a confident and professional telephone manner
- excellent organisational skills
- self-motivation and thrive in a fast-paced team
Your day to day responsibilities will be:
- compile a project timeline with realistic dates
- receive schedule from the design team and set up meeting to discuss and understand project
- set up schedule and get quotes from suppliers
- if tender pack issued then work through with design so establish which suppliers work best with which items and ensure that the product guarantees are discussed. Copies of this should be save in the project file
- update schedule with chosen suppliers
- place purchase orders – to include all PO’s for FR treatment, save copies in the project file for reference and audit trail, especially FR Certificates
- keep budget on track
- ensure design have signed off any drawings and returned them to the supplier, save copies in the project file for reference and audit trail
- purchase vintage and send for reupholstery – ensuring everything is compliant with regulations
- re-specify items which are currently out of stock or on too long lead times
- if sample products are required monitor these for delivery dates
- receive invoices and ensure they are submitted for payment and schedule updated with details, save copies in the project file for reference and audit trail
- advise warehouse to start to expect deliveries and send schedule of items to allow them to mark off when received
- update schedule of received items
- establish the installation date with the contractor, lighting and furniture
- collate all items are the warehouse, label with item code, floor, item etc and arrange delivery to site in accordance with the project installation dates
- attend site to ensure that items are received, checked and stored appropriately
- oversee rubbish removal
- discuss with install team the scope of works, if require submit RAMS and have induction with team before starting install
- install items to coded plans (with images) – if MUR then ensure that all comments are captured and updated on the schedule and arrange for the main orders to be amended or alternative products ordered
- check for any snagging
- organise for any replacements or additional items
- ensure schedule is 100% up to date and submit for reconciliation
