Practice manager
at AOC

AOC is hiring a practice manager that will coordinate and support the studio in London.

Established in 2005 Agents Of Change (AOC) are an award-winning practice of architects and designers who have gained international recognition for creating high quality buildings, places and experiences to support a better democratic society. Current projects include the Young V&A Museum, the National Railway Museum, Lloyd’s Register of Shipping and The National Archives.

We are looking for a self-motivated and dynamic practice manager to join our team of 19 in Bethnal Green, east London. This role is integral to the running of the studio and the business as a whole. Working alongside the senior management team, you will need a high level of autonomy and self-direction to help develop processes and systems that help the studio run smoothly and create opportunities for improvement. A natural communicator, you will enjoy building good relationships and bring a positive attitude to the studio.

Key responsibilities include, but are not limited to

General office administration:

  • ensure the smooth running of the business and maintaining the studio – ordering supplies, coordinating cleaners, liaising with the landlord and insurers
  • maintain general daily communications – answering the phone, managing post, greeting clients, and setting up for meetings
  • booking business travel and accommodation
  • liaise with external IT support for troubleshooting and new starter set up
  • regulatory governance and compliance

Finance:

  • processing monthly invoices and payments
  • reconciliations and bookkeeping using Xero software
  • coordination with the practice accountants for VAT, payroll, WIP and management accounts
  • review projects, timeframes and resources in line with costs, profitability and efficiency
  • prepare weekly and monthly financial reports for the senior management team

Human resources:

  • oversight of recruitment processes, preparing and filing contracts for new employees, preparation and management of review forms
  • coordination of timesheets, leave and absences
  • welcoming new starters
  • organising and delivering of events ranging from studio trips, public events and internal birthday celebrations

Business development:

  • coordination of studio’s bids and marketing activities
  • working with the senior management team to produce bids
  • working with the social media team to help communicate AOC across all channels
  • monitoring and updating quality assurance protocols

Health and safety:

  • being the practice’s first aider and fire marshal
  • carrying out risk assessments
  • coordinate the practice’s compliance

Skills required:

  • minimum two years’ previous experience, ideally within the architectural and design industries
  • strong organisation skills and the ability to multi-task using initiative
  • high levels of accuracy and strong eye for detail
  • able to communicate pleasantly and professionally
  • ability to handle confidential and sensitive information with discretion
  • excellent Microsoft Office and Xero skills are essential
  • knowledge of Adobe Indesign would be highly beneficial
  • sound business acumen
  • self-motivated
  • eligible to work in the UK

Candidates will be based in our Bethnal Green office full-time and would ideally be available to start imminently.
