Office coordinator/IT support
at Makower Architects
Makower Architects is seeking an office coordinator/IT support to join its team in London.
We are seeking a bright energetic individual, for the role of office coordinator/IT support, to join our growing team of architects and urban designers in our London studio. Makower Architects is an architectural studio based in Bankside, London, specialising in architecture and urbanism working on UK and internationally.
Key areas of responsibilities:
- office/facility coordinator (i.e. running the studio facility)
- IT support
- receptionist/PA
Office/facility coordinator
- maintain and look after all suppliers and service providers related to the office facility and studio operations such as building utilities, cleaning service, alarm provider, etc. (does NOT include finance aspects of the supplier accounts)
- maintain and look after all studio subscriptions and memberships
- organise marketing events
- organise internal studio events
- conduct new staff inductions, onboarding and off-boarding
- maintain studio diary
- manage all incoming and outgoing post, deliveries and couriers
- manage and look after the sooth day to day running of the studio
- look after all aspects of the office facility, including organising repairs and regular maintenance, cleaning services, printer, alarm company, internet and utility providers, telephone, etc.
- maintain office, facility and kitchen supplies and inventory, including ordering
IT Support
- be main point of contact to our external IT consultant
- maintain database/ inventory of all computers, laptops, monitors and any other significant hardware
- maintain server folders, create new project folders, etc.
- maintain all software and hardware installation & updates (assist our external IT consultant)
- provide impromptu IT support to principal and staff
- prepare and coordinate all IT for in person and remote meetings
- assist external IT consultant with server management
- be familiar with setting up and maintaining remote desktop computer system
- be able to IT troubleshoot
- knowledge of both Windows and Apple operating system
- knowledge of Android and iOS
Receptionist/PA
- manage the principal’s busy and ever-changing diary, schedule meetings as necessary
- manage and filter incoming email
- arrange business travel and manage travel itinerary
- other ad hoc tasks as reasonably required, e.g. printing and scanning
- act as front of house for the business, meeting and greeting clients and visitors
- monitor office calendars for meetings, preparing and serving refreshments, arranging lunch as necessary
- ensure that meeting rooms are prepared both before and after meetings
- handle all phone calls, send and receive all post and deliveries
- maintain the overall tidiness and appearance of the studio
Required skills and attributes:
- IT skills and tech/IT know how is a must
- confident, friendly, proactive and with common sense
- a thorough and conscientious multitasker with discretion and diplomacy, ability to take direction and manage own workload
- strong organisation skills, with the ability to prioritise and manage both your own workload and that of the principal
- the ability to work under pressure and to deadlines
- good working knowledge of the Microsoft Office suite, Windows and Apple OS and general IT knowledge is essential
- excellent English, both spoken and written
Full time position, five days a week in the office.
