Studio Ashby is hiring a studio manager to join its team in London.

This is a varied and dynamic role with wide-ranging responsibilities.

The ideal candidate will be highly organised, self-motivated, approachable and helpful. They will be able to quickly establish relationships with others, be calm and conduct themselves professionally at all times.

They will work using their initiative and apply a hands-on approach to tasks. A team worker who will bring enthusiasm, ambition and a collaborative mindset to the role.

You are:

  • someone who has at least three years experience in a similar role, this will be your second or third position as a studio manager, personal assistant or similar office administrative role

  • willing to provide out-of-hours support on the very odd occasion
  • fluent in written and spoken English
  • interested in design and the creative industries

You will be responsible for

Office management

  • managing all IT, software and telecoms across the business and working closely with our external IT consultant
  • managing all elements of the building maintenance, including the utilities, cleaning, insurance and security
  • being the main key holder listed for showroom and studio, managing all other key holders
  • supporting the team with general studio administration eg. post and deliveries and stationery, keeping the studio clean and tidy
  • general day-to-day management of the studio, making sure we have fruit, flowers, and kitchen basics, and ensuring it always looks presentable
  • meeting and greeting all visitors, being a great host serving refreshments or lunch
  • lead the Monday team meeting, ensuring everyone is briefed on key events that week
  • organising all company travel
  • arranging gifts for staff birthdays and Christmas cards/gifts for clients
  • answering the studio phone
  • organising any team socials eg. summer and Christmas party
  • completing any applications and award submissions
  • managing the company’s physical and digital filing system
  • managing office costs effectively
  • diary and travel management for the directors
  • overseeing new business leads with the associate director
  • managing the company database of suppliers with the designers
  • supporting the senior management team in promoting a positive and supportive work environment and company
  • ensuring the company continues to be environmentally conscious across all aspects of the business and be proactive in seeking new ways in doing so
  • managing the company’s health and safety policy and fire risk assessment, ensuring these are reviewed and acted upon

HR 

  • providing advice to employees on company benefits and entitlements, including the company pension scheme and health insurance
  • taking ownership of the company handbook, updating all policies and procedures as and when necessary
  • working closely with the directors through the recruitment process, organising interviews
  • managing the onboarding process for all new employees and consultants, administering all documentation for new joiners and current employees
  • managing the company’s health insurance policy
  • managing the bi-annual employee review process, issuing the morale score and collating results
  • supporting the directors on upkeep/maintenance of our cloud-based HR system
  • support the directors in liaising with our external HR consultant when required
  • overseeing the studio intern with the support of senior management

PA to Sophie Ashby 

  • managing Sophie’s calendar and diary
  • managing and preparing complex travel itineraries, eg. Milan Saloni, personal holidays
  • managing Sophie’s car – tax disc, MOT, servicing, expensing mileage and leasing
  • assisting in any organising/admin tasks associated with marketing
  • manage the utilities for Sophie’s apartment
  • conducting research

The salary of this role will be based on experience.
