Atelier Brückner is hiring an executive assistant/project assistant to join its team in Stuttgart, Germany.

Atelier Brückner is a globally operating design studio specializing in architecture, scenography, and exhibition design. We develop museums, cultural buildings, EXPO pavilions, as well as brand and visitor centers for international clients. Our projects include the Grand Egyptian Museum in Cairo, the Museum of the Future in Dubai, visitor centers for the European Parliament, and cultural projects such as Wagenhallen and Villa Berg in Stuttgart. Our creative studio brings together interdisciplinary teams of architects, designers, and scenographers from diverse cultural backgrounds. Together we create spaces that tell stories and move people. The position

To support our architecture department, we are looking for a structured and responsible individual to join us as an assistant to Prof. Eberhard Schlag at the earliest possible date.

In this role, you will take on organizational, administrative, and coordinating tasks within the architecture department and play a key role in structuring project and team processes. As Prof. Schlag frequently travels nationally and internationally due to project commitments, the position requires a high degree of independence, organizational skills, and sense of responsibility. Many tasks will be prepared, coordinated, and followed up independently by you.

The position can be filled on a full-time or part-time basis (minimum 50%) and explicitly welcomes experienced professionals who, due to their personal circumstances, consciously prefer not to work full-time. In addition to traditional assistant profiles, we also welcome applications from architects or designers who would like to contribute their project experience and organizational skills in a coordinating role within an international design studio.

This position offers the opportunity to work closely with the management team and international project teams while making a central organizational contribution to the realization of complex architecture and museum projects. You will operate at the intersection of design, project organization, and studio structure, playing a key role in ensuring that projects, teams, and workflows are efficiently coordinated.

The role is particularly suited to individuals who enjoy bringing structure to creative processes, taking on responsibility, and becoming a long-term part of an international design studio.

Responsibilities

Organization and communication:

  • organizing, coordinating, and preparing meetings and internal sessions (e.g., regular check-ins, project meetings, team workshops)
  • coordinating organizational and administrative processes within the architecture department
  • communicating with project partners, clients, and external consultants
  • preparing presentations, meetings, and internal coordination processes
    project administration
  • maintaining project and resource schedules/tables
  • supporting project budgeting and fee calculations
  • preparing and reviewing contractual documents
  • preparing and processing commissions, additional services, and contract amendments
  • providing administrative support for competitions and public procurement procedures (VgV)

Team organization:

  • capacity and staff planning for the architecture department
  • coordination of vacation planning
  • administrative support for interns
  • assistance with organizational processes within the team
  • in this role, you will make a significant contribution to ensuring that projects, teams, and organizational processes within the studio are well structured and that complex international projects can be coordinated efficiently

Your profile:

  • commercial training, a degree in organization/management, or a degree in architecture, design, or   a related creative field
  • experience in office management, project coordination, or administrative roles within planning or creative studios
  • alternatively: architects or designers interested in taking on organizational and coordinating responsibilities within a project environment
  • strong organizational skills and a structured way of working
  • high degree of independence and the ability to prioritize and manage tasks responsibly
  • high level of reliability, discretion, and sense of responsibility
  • professional and friendly communication with clients, project partners, and colleagues
  • confident use of MS Office and willingness to learn new software tools
  • good English skills for daily communication in an international project environment
  • ability to work under pressure and remain resilient in demanding situations
  • willingness to take on responsibility
