BIG is seeking an office/community coordinator to become part of its team in London.
BIG are looking for an ambitious and hands-on office and community coordinator to support our office and community team in the daily running of our London office.
BIG is a group of 500+ architects, engineers, urbanists, inventors, researchers and business minds from all over the world who are based in our Copenhagen, New York, London and Barcelona offices. Our built work ranges from the most diverse urban playground and Michelin-star dining – to affordable housing that feels everything but and a school among the verdant fjords of the Faroe Islands. Our vision spans travelling at supersonic speed with Hyperloop One to living in floating cities and eventually Mars.

The London office is growing at a rapid pace and we are therefore on the lookout for a full-time office and community coordinator to help with the daily running of our office and elevate the hospitality level.
You will be based in our London office together with 55 fantastic BIGsters, where you will work closely with the local managing director and the office and community team. You will be reporting to the managing director and will become part of a fast-paced, young and vibrant office milieu, where no two days are ever the same. Occasional weekend attention and late afternoons/evenings can occur, so flexibility is important and thriving in a busy environment is key.
Maintaining an overview and joggling many tasks simultaneously is a big part of the job, hence understanding the needs of the office, being proactive, as well as having an acute sense of urgency and be service-minded is important to fulfil the role. No task is too small and no ambition is too great.

- welcoming and entertaining all office guests and clients
- covering the front desk during business hours, while being the first and last point of contact for all staff and visitors
- ensuring the office is presentable, inviting and inspiring
- receiving, monitoring and actioning the LON email
- answering an actioning LON phone with warmth and professionalism
- receiving, distributing and arranging courier and model deliveries
- ensuring the meeting room bookings are coordinated and that the meeting rooms are prepared for meeting and cleaned afterwards
- managing lunch and dinner orders for office staff and office meetings
- monitoring and maintaining stationery stock, food supplies and office provisions
- liaising with property management team, M&E, handyman services and building security teams to ensure smooth running and maintenance of office facilities
- ensuring compliance with health and safety at work regulations on behalf of the office (GRA, FRA, first aid kits, fire extinguishers, inductions, development and maintenance of emergency plans etc.)
- liaising with the global IT team to ensure troubleshooting, while hardware and software are operational, serviced and always in stock
- handling expense reports and purchase order forms on behalf of the office
- providing document controlling duties to project teams as required
- providing support to people manager with on-boarding and off-boarding processes
- providing support with travel arrangements and visa bookings according to the company travel policy
- providing support with office parties and other office events (Friday bars, CPD events, site visits, annual summer and Christmas parties, client events etc.)
- providing support to the managing director as required
We seek a person who:
- is fluent in English
- has relevant experience in a similar role
- is organised, structured and has an eye for detail
- is calm, focused and capable of multi-tasking and prioritising independently
- is service-minded, positive and trustworthy
- is ambitious, hands-on and loves to take initiative
- is proactive and who also completes tasks with a sense of urgency
- has excellent interpersonal skills and written communication skills
- enjoys a busy and creative environment with many personalities
- has thorough knowledge of the Microsoft package and Outlook (Aconex and InDesign is a plus)
