About the role
We are currently looking for a proactive senior team coordinator with four to five years of experience to join our team. This is a varied role, supporting a team of 40-plus engineers as well as part managing junior team coordinators.
The senior team coordinator serves an instrumental part in the day-to-day responsibilities of the team, working closely with the directors and members of staff to ensure efficiency across the practice. Overseeing a broad range of reporting and new business activities, you will be responsible for coordinating the end-to-end process of fee submissions and have a meticulous, team-driven work ethic. This role would suit someone with a keen interest in site research as well as producing creative work in InDesign.
Responsibilities:
- producing various fee, RfPs and research responses in-line with set deadlines
- designing companywide reports and presentations, combining creativity with practicality using InDesign and Microsoft Office
- utilising artistic acumen to create eye-catching layouts
- conducting site research for prospective projects and researching bomb maps, aerial photos, historical maps, borehole records, asset location searches and general site history to create an in-depth research report
- maintaining a library of PQQ information, staff CVs, project case studies and photographs, filed in accordance with practice policy
- photo editing/art working/sketching where needed
- group management – keeping up to date internal project management software (timesheets and expenses), arranging group meetings, producing resourcing and invoicing reports, sending Tuesday and Friday meeting reminders
- providing reliable support as a PA to the director, helping things run efficiently
- occasional support of document control
The ideal candidate:
- previous coordination experience both design and administration and hold advanced proficiency in Adobe Creative Suite (particularly InDesign)
- a passion for the built environment and a background in the industry
experience in managing resource and team members in a creative environment - detail orientated and with strong organisational skills
- a confident attitude with excellent written and verbal communication skills
- attention to detail
