Practice manager

IID Architects has an opportunity for a practice manager to be part of its team in London.

IID Architects is looking for a part-time practice manager to support the directors in the management of the business. The practice manager reports directly to the directors and will work alongside the administrative manager and accounts manager to ensure the smooth running of all aspects of support processes.

The role requires the candidate to have excellent organisational skills and a flexible and proactive approach. Candidates should be professional and presentable with excellent written and spoken communication skills. Managing your time effectively and an ability to work to strict deadlines is critical.

The ideal candidate would have experience in a similar role in a professional design services environment, but other relevant experience will be considered.

The duties of the practice manager will include

General management:

  • support the administrative manager in managing facilities, office housekeeping, security, premises maintenance and other related issues
  • work with and support the marketing coordinators in carrying out their marketing, public relations and business development duties
  • ensure maintenance of suitable professional indemnity, employer’s, public liability, office insurances and memberships
  • maintain and develop suitable and compliant business policies, updating them as required and at least annually
  • schedule director and associate meetings, prepare and circulate minutes

Business development and legal:

  • collaborate with leadership to define business development goals and priorities
  • develop and execute a comprehensive business development plan aligned with the firm’s objectives and growth targets
  • develop, maintain and update a CRM system to track leads, opportunities, and client interactions
  • build and maintain strong relationships with existing clients to encourage repeat business and referrals
  • generate leads through various channels, including networking, industry events, online marketing and cold-calling
  • track leads from initial contact to project acquisition
  • collaborate with our architectural and design teams to tailor proposals to meet the specific needs of clients
  • work with our insurers and legal advisors when necessary to finalise appointments

Quality management systems:

  • maintain and develop the quality management procedures in line with requirements of ISO 9001; assist with updating template documents; organise internal and external audits
  • ensure Constructionline and Acclaim memberships are maintained
  • ensure RIBA chartered practice membership is maintained and complete RIBA benchmarking survey

Human resources:

  • oversee the staff CPD programme and ensuring RIBA compliance records are kept
  • manage and maintain HR processes alongside IID consultants, the HR Dept
  • work with the directors in recruitment process and inductions
  • maintain and check staff paperwork, and records
  • work with the directors to ensure compliance with GDPR requirements
  • set up the staff appraisal process
  • administration associated with changes to staff employment conditions such as salaries and promotions; holiday and sickness records
  • promoting inter-company communication on HR matters and keeping staff up to date with changes in personnel, news and information
  • other ad hoc duties

Benefits:

  • 22 days holiday plus all bank holidays pro rata with additional entitlement after two years
  • stakeholder pension scheme – IID pays eight per cent of a band of your salary above £6,240 into NEST
  • a part-time basis would be a minimum of 20 hours per week in office, with the option of distributing the hours over three to five days a week
  • entry into group income protection scheme after six months’ probation
  • Christmas closure between Christmas Day and New Year

The applicant should have a proven track record in business development within the architecture or related industry.
